Document Presence report

Check whether required documents are present for each employee across each document category.

The Document Presence report shows whether a document exists for each employee across each document category. Rather than listing individual files, it gives a simple yes/no view β€” making it the fastest way to spot who is missing a required document across your organisation.

It's particularly useful for compliance checks β€” for example, confirming that all employees have a DBS check, right to work document, or signed contract on file.

πŸ“Œ Note: You'll need a permission level that includes access to the Reports area and the relevant document fields to run this report. If you can't see it, ask a Full Access user to update your permissions.


Run the report

  1. Click Reports in the main navigation, then select Document Presence.

  2. Use the filters to narrow results β€” by site or department, document category, or active or inactive employees.

  3. Click Export to download the results as a CSV.
