Access company documents in Rotaready

As a employee, you can easily access company documents.

Employees can view company documents either on the Desktop portal or on the Rotaready app.

On the desktop portal

To access company documents, follow the steps below:

  1. Login on Rotaready system then click on Home.

  2. Select My Documents.

  3. Click Document Categories to select a specific category or click Select all.

    • You’ll find the option to acknowledge each document on the right-hand side.

  4. Click then click Acknowledge to acknowledge a document.


On the Rotaready app

To access company documents on the Rotaready app, follow the steps below:

  1. Log in to Rotaready, click the 3 lines in the top-left corner, then select the My Documents section.

  2. Tap any document to view it and download it if needed.

  3. If your employer has enabled it, you can also acknowledge a document from there.

    • Tap the document, then choose Acknowledge.


Permissions required

For employees to see documents, administrators must ensure the document types are configured correctly by following the steps below:

  1. Go to Settings in Rotaready.

  2. Access the Document Categories settings.

  3. Select the category Employees can view.


Notifications for new document uploads

Employees receive email notifications whenever a new document is uploaded to a category that they can access.

This is only the case if the notification settings have been properly configured by the employee. Double-check the configuration in the Notifications section of Rotaready settings to ensure these alerts are enabled.


Limitations: Emailing documents

Currently, there is no feature within Rotaready to email a copy of a document to employees directly after submission or signing. To ensure employees can access the document later, follow this workaround:

  1. Upload the document to a category that is set to 'Employees can view.'

  2. The document will then be accessible through their profile in the My Documents section.

Employees will need to access documents directly through the app or portal rather than through email.
