Sign-off

Complete a day or week with sign-off to lock down your data so it's ready for reports and payroll.

Sign-off is how you tell Rotaready you're done with a day or week, and that the data can be relied upon for reports and crucial processes like payroll. The data becomes read-only and can no longer be edited.

βœ… You should only sign-off when you've resolved any attendance issues, approved any holiday/absence and entered sales figures (where applicable).

When you use sign-off, it triggers certain key tasks that run in the background, like pushing paid hours data through to your timesheets, updating someone's average hours worked and crediting holiday accrual. It also locks down your hours and wage cost in the actual section of Cost Control.

Completing sign-off

You can sign-off just a day or a whole week in one go.

πŸ‘ Β It's a good idea to get into the habit of completing sign-off at the end of each day or each week, depending on your organisation's preference.

  • Click Cost control then Cost control & sign-off

  • Navigate to the correct week

  • To sign-off a day: look for the sign-off button above each day

  • To sign-off a week: look for the sign-off button above the whole week

You can only sign-off days in the past, up to and including today.

Reversing sign-off

While it's possible to undo a sign-off, we don't recommend you make a habit of it. It's better to make sure your data is present and correct before completing sign-off. But sometimes mistakes happen, so this is how to reverse a sign-off.

❗️ Reversing a sign-off requires the relevant access rights.

  • Click Cost control then Cost control & sign-off

  • Navigate to the correct week

  • To reverse the sign-off for a day: look for the ... button above each day

  • To reverse the sign-off for a week: look for the reverse sign-off button above the whole week

Reversing a sign-off will reverse any credits made for holiday accrued.

Don't forget to sign-off the day or week again when you've finished making changes!

Reviewing sign-off status for sites/departments

The sign-off report allows you to review which sites/departments have completed sign-off. It also consolidates all the financial metrics (hours, wages, sales) associated with each site/department for both forecast and actual.

  • Click Reports and choose Sign-off progress

  • Choose the site or department(s)

  • Navigate to the correct week
