Bulk import pay rate changes for National Minimum Wage updates

You can bulk import pay rate changes for National Minimum Wage updates, in a few easy steps.

Updated today

We can support your business with bulk pay‑rate updates related to the annual National Minimum Wage (NMW) changes. This bulk update service is available once per year.

If only a small number of employees are affected, we can also process manual updates instead.

To get started, simply provide the relevant employee data in a secure format. Manual updates are also suitable for small adjustments to individual pay rates or job titles when a full bulk import isn’t necessary.

📌Note: This service is mainly for annual National Minimum Wage updates, though other pay‑rate changes may be included where appropriate. One bulk import per year is free; additional imports incur a service charge. There’s no undo option, so please ensure your data is complete and accurate before submission.

Step 1: Export staff data

  • Go to the Staff page and export the staff list.

    • Make sure you keep both the Rotaready ID and employee names in the file.

Step 2: Add pay rate change details

To add pay rate change details, follow the steps below:

  1. Open the exported file in Excel.

    • Do not edit or remove any existing columns.

  2. On the right-hand side, add three new columns with the following headers:

  • the new pay type, hourly or salary.

  • the new pay rate.

  • the effective date of this new pay rate.

Step 3: Send the file securely

Because the file includes sensitive pay information, it’s important that it is shared securely:

  • Save the Excel file as a password-protected document.

  • Send the file to us via team@rotaready.com or through live chat.

  • Share the password with us in a separate message such as chat or a follow-up email.
