How to integrate Rotaready with Flow Learning.

Installation

To enable the integration you must reach out to the support team at Flow Learning and request the following information:

  • Company ID

  • Secret

Connecting Rotaready to Flow Learning:

  1. Click Settings then Flow

  2. Enter your Flow Client ID and Secret

  3. Map your Rotaready departments or sites with Flow branch codes

  4. Map your Rotaready departments with Flow departments (this can be left blank if you have mapped your departments in step 3)

  5. Map your Job roles with Flow job titles

❗️ You'll need to ensure that your fields in Rotaready match exactly the fields in Flow when using Rotaready's verbatim.

6. Switch the status to On

7. Click Save

⚠️ If user information already exists in your Flow environment, then you'll need to map your users to ensure that employees aren't duplicated in Flow ahead of enabling the integration.

Mapping your users

User mappings will allow the integration to match your users in Rotaready against your users already set up in Flow. This will ensure that the integration doesn't create duplicate employees in Flow when it is first turned on.

To map your employees, you'll need to to set the Identifier field for each employee in Flow as the employee's User ID in Rotaready (this can be found for each employee by exporting an employee details report).

For any new users added to Rotaready once the integration has been enabled, the Flow Identifier will be set automatically as required.

❗️It may be quicker to request for the Identifiers to be updated in bulk by Flow, who'll also be able to create a test run to ensure that all mappings are correct ahead of enabling the integration.
